Practical information and advice for property ownersOn this page, we have brought together useful information and practical advice in a reference guide designed to help you as a property owner with the day-to-day aspects of renting out your holiday home. Our approach is based, among other things, on providing a high level of service to both property owners and guests. We believe it is essential to have you, as a homeowner, involved throughout the process as a valued partner. Only through good communication and constructive cooperation can we achieve successful and rewarding holiday rentals together, while ensuring happy guests who want to return year after year. The following information also gives you an insight into how we at Provacances manage the various aspects of holiday home rentals. By placing your trust in us and allowing us to manage the rental of your holiday home, you also confirm that you understand and agree to the information and guidelines set out in our A–Z. You will find the individual topics listed in alphabetical order further down the page. A – Additional servicesServices beyond the standard offering, including special requests from guests, must be agreed separately. B – Baby equipmentOne highchair and one baby cot are standard equipment in all holiday homes. It is therefore the homeowner’s responsibility to provide these items. B – Building workHomeowners are required to inform Provacances of any ongoing building work in or around the property that may cause inconvenience to guests. In the case of major building work, Provacances will assess whether the property remains suitable for rental. If the property is considered unsuitable, Provacances may relocate the guests to appropriate alternative accommodation. Before arranging a relocation, Provacances will attempt to compensate the guests with up to 50% of the rental amount. Any costs associated with relocation or refunds will be deducted from the homeowner’s rental payments. C – CancellationsProvacances ensures that homeowners receive the payments due for bookings where guests have already made a payment, regardless of whether the guests subsequently cancel or change their booking. If a guest cancels less than five weeks before the start of the rental period, the homeowner is guaranteed full payment, unless the cancellation is due to force majeure. If a guest cancels more than five weeks before the start of the rental period, the homeowner is guaranteed the deposit already paid, corresponding to 25% of the rental amount. During the cancellation period, the property remains at Provacances’ disposal and may not be used by the homeowner. C – Check-in and check-outCheck-in and check-out times are agreed in consultation with Provacances and clearly communicated to guests. Adhering to these times is essential to allow sufficient time for cleaning and preparing the property between stays. C – Cleaning and preparationAt the beginning of the holiday season, the property must be well maintained, in good condition and thoroughly cleaned, both inside and outside. Before each stay, the house, terraces and swimming pool must be clean, fully functional and welcoming. For properties with extensive rental activity, we expect the homeowner to arrange a thorough deep clean twice a year. C – ComplaintsProvacances handles complaints professionally and with a focus on finding solutions, in consultation with the homeowner. Any refunds are always agreed with the homeowner. Minor damage amounting to less than EUR 100 is considered insignificant and is generally not compensated. D – Damage reportingDamage and defects are recorded in writing and, where possible, supported by photographic documentation. The homeowner is informed as quickly as possible. E – Electricity, water and other utilitiesUtility consumption is handled according to the arrangement agreed for the individual property. F – Flexible rentals and special offersThe property may be included in promotional campaigns, short breaks and flexible rental arrangements by agreement. G – Guests and target groupsProvacances focuses on renting properties to responsible guests. Youth groups and events involving particular risks are generally not permitted unless otherwise agreed in writing. H – Homeowner use and rentalsThe homeowner’s personal use of the property is respected within the agreed terms and must be registered in good time. The booking calendar must always be kept up to date to avoid double bookings and misunderstandings. I – InsuranceThe homeowner is responsible for maintaining appropriate insurance covering holiday rentals, including buildings, contents and liability insurance. I – Inventory and equipmentThe property’s inventory and equipment must correspond to the property description and be in good working order. Normal wear and tear should be expected when renting out a holiday home. Provacances must be informed of any changes or replacements to the inventory so that photographs and property descriptions can be kept up to date. Equipment must not be removed during an ongoing rental season. L – Linen and towel packagesA linen and towel package must contain, as a minimum, the following items per person: one bed sheet, one duvet cover, one pillowcase, one large towel, one small towel and one pool towel. In addition, we recommend providing one extra towel for each toilet. L – Local partnersProvacances works with local contacts, property managers, tradespeople and other service providers to ensure a prompt response and a local presence. Guests can contact us directly during their stay at help@provacances.dk. M – MaintenanceThe homeowner is responsible for both routine and major maintenance work. Whenever possible, maintenance should be scheduled outside the peak season. M – MarketingThe property is marketed through Provacances’ platforms and partners. Prices and presentation are continuously adjusted according to market conditions and demand, in accordance with the discounts agreed. N – Neighbours and considerationHoliday rentals must be managed with respect for the surrounding neighbourhood. Guests are informed of the importance of respecting the local area, keeping noise levels down and complying with any applicable local regulations. P – Pest controlThe homeowner is responsible for preventing and dealing with pest infestations on the property. P – Photography and photographsProvacances has its own photographer, who takes professional photographs of the holiday home at the beginning of the partnership and subsequently whenever necessary. During the initial phase, it may be necessary to use photographs supplied by the homeowner until our photographer has had the opportunity to visit the property. It is important that these photographs provide an accurate representation of the property and are neither AI-manipulated nor edited in a way that alters its actual appearance. P – PricingRental prices are determined jointly by the homeowner and Provacances, with the aim of achieving optimal occupancy and overall rental income. Q – Quality assuranceIf recurring issues arise, we will discuss them with the homeowner to identify improvements and make necessary adjustments. We expect the property to be regularly maintained and any necessary repairs to be carried out. R – Repairs and problem resolutionIf faults or defects arise during a guest’s stay, Provacances will endeavour to resolve the problem as quickly as possible. If the homeowner cannot be contacted, Provacances is entitled to arrange reasonable measures at the homeowner’s expense. R – Rental payments and statementsPayments to the homeowner are made by bank transfer once a month. The monthly statement covers rental periods beginning during that month, together with any adjustments and outstanding balances between the parties. S – Seasonal preparationBefore the peak season, the property must be checked to ensure that all inventory, installations and facilities are functioning properly. The homeowner is expected to inspect and, where necessary, replace bed linen, towels, sun loungers, garden furniture, cushions, parasols, mattress toppers and mattresses. S – Smoke alarms and fire safetyUnder French law, all holiday homes must be equipped with at least one approved smoke alarm. The homeowner is responsible for ensuring that the smoke alarm is properly installed and functioning correctly. We also recommend providing a dry powder fire extinguisher for the safety of guests in the event of a fire. S – Swimming pools and spasSwimming pools and spas must be professionally cleaned every week during the peak season. Safety measures, including alarms, fencing and pool covers, must comply with applicable legislation. V – Video surveillanceHoliday homes with video surveillance are not permitted for rental, whether the cameras are located indoors or outdoors. The only exception is surveillance of the driveway, provided that the camera does not also record the house. If such surveillance is in place, both Provacances and the guests must be informed in advance. W – Welcome folder and guest informationThe property should have an up-to-date information folder (welcome folder) containing practical information about the holiday home and the local area. W – Working together and regular communicationProvacances prioritises ongoing communication with homeowners, particularly at the beginning of the season and after the peak season. W – Wishes and suggestionsHomeowners are always welcome to discuss ideas, improvements and new initiatives with Provacances. Z – Zone of mutual trustOur partnership is based on mutual trust, clear communication and realistic expectations. This A–Z is a living document that may be updated over time to reflect changes in our partnership and developments in the market. |
