A security deposit is required for all rentals. Provacances will place a temporary authorization on your credit card account for the amount. The amount will not be deducted from your account, if the holiday rental is left in good order, no damage has been done and all charges have been paid. Provacances has the right to hold the authorization up till 14 days after the end of the rental period. At some holiday rentals the security deposit is to be paid in cash or by credit card upon arrival. The amount will be returned by the end of the stay.
In most cases electricity, water and gas is included in the rental amount. You can see on our web site and on your invoice if you have to pay for consumption seperately.
Tourist tax: Local authorities in France levy a tourist tax on visitors to the country. Typically, an amount per person per day is charged. The amount varies widely and can range from €1.5 to €6 per person per day. However, in most places, children under the age of 18 are exempt from this tax. The tourist tax is either collected on site or invoiced before or after the rental.
Arrival at 4 pm (some holiday homes from 5-7 pm). If the tenants expect to arrive later than at 4 pm, the tenants shall inform Provacances about the exact arrival time two days before arrival. In case of delay the tenants shall inform the owner or his representative. At certain holiday homes Provacances charge an extra fee of 30-50 € for arrivals after 8pm. If the amount is not paid on spot, Provacances will charge the tenants afterwards. Provacances is not responsible if the tenants due to delay cannot enter the holiday home the first day. The address of the holiday house will be send about 4 weeks before arrival. Departure shall occur before 10 am. The tenants shall inform the owner or his representative about the expected departure time, in order to assure the key delivery and the inspection.
We function as an agent and are therefore responsible for bringing about a contact between the tenants and the owner of the holiday home. The agent’s liability is limited to damages/losses caused intentionally or by gross negligence.
Our information is based on our viewing of the holiday homes and areas and from information from the owners. We do our outmost to be correct and objective in its information, but as catalogues and price list are produced app. 1 year before entering the rental agreement there can be change to which we have no knowledge and which we can not be hold responsible for.
In case of breach of contract from the owner of the holiday home, error in forwarding, wrong information or similar we reserve the right to either pay back the rental amount or replace the holiday home with another (of same standing, capacity).
We are not responsible for any changes which do not affect the holiday home directly (e.g. swimming possibilities at the beach, shops, road and building construction, environmental damage). We are not responsible for any pest attacks inside or outside the holiday home, but in extreme cases we will try to rectify the problem as soon as possible.
We reserve the right to make amendments without prior notice in case of misprint.
Reservation can be done verbally, by e-mail or on-line booking on www.provacances.co.uk. The reservation is binding.
When doing business with provacances.co.uk the language is English.
In the event of cancellation, the following is applicable:
If you cancel more than 6 weeks before your arrival, you will lose your deposit. If you cancel less than 6 weeks before your arrival, you will lose a 100% of the cost of your holiday. You have, however, 3 days to regret your booking without any costs, if this happens more than 6 weeks before arrival.
The reception date of the cancellation notice determines the rate to apply. Regardless the reason for the cancellation, the tenants must give notice to Provacances by mail, phone or e-mail. Any tenant who fails to give notice to Provacances shall be required to pay the entire balance.
Provacances cannot change any price that occurs on the rental agreement, reserving the right to increase prices in case of any errors. The prices can be changed without warning in case of changes of the rate of exchange. All prices are the price per week for the whole holiday house and are always given in EURO.
For bookings made 6 weeks or more before the beginning of the rental a down payment on 30% of the total cost is due. Payment per bank transfer or credit card. (VISA, Master Card or Euro Card). For credit cards not issued in the EU, corporate cards or business cards, a fee of 1,9% will be imposed.
The balance due has to be paid to Provacances 6 weeks before the beginning of the rental. In the event of non-respect of this lapse of time, your hiring could automatically be cancelled without notice.
For bookings made less than 6 weeks before the beginning of the rental the total rental amount is due at the moment of the booking. Here it is only possible to pay by credit card (VISA, Master Card or Euro Card).
When you book a holiday home through Provacances, you are automatically covered by our illness insurance, which is included in the rental amount. The insurance covers if the persons stated in the rental agreement or their spouses, partners, children, parents, siblings, grandparents, grandchildren, parents-in-law or children-in-law pass away or contract an acute illness or serious injury requiring hospitalization, bed rest prescribed by the doctor or anything of a similar character.
The insurance coverage depends on the following conditions:
a. The tenant shall inform Provacances of the illness no later than 48 hours after the occurrence of the illness, either in writing or by telephone, and Provacances must have been notified of the cancellation no later than at noon on the day of the arrival stated in the rental agreement.
b. Provacances shall receive proof of the incident warranting cancellation, ie. medical certificate or death certificate, within 72 hours of notification.
In the case of a successful claim, the full rental amount - less the deductible of 4% of the rental amount – shall be refunded to the tenant.
The number of individuals provided in the agreement may not be exceeded without agreement with Provacances. Children/babies (from age 1 year) always count as persons in the capacity. Every useful event (wedding, receptions, birthdays…) must have the agreement of the owner. Tenants are not allowed to bring in additional beds. Similarly, setting up tents or parking trailers in the garden is prohibited. If those rules are not respected and the owner note that the capacity is exceeded it is the owner’s right, without any warning, to cancel the rental agreement and turn out all tenants. The tenants are in this case not entitled to any compensation.
Dogs are allowed in some of our accommodations. This has to be specifically stated in the invoice. If you bring a dog, the accommodation must be left without a trace of it upon departure. Even though final cleaning has been paid for, you should make sure to vacuum thoroughly during your stay and before departure. It is strictly forbidden to let the dog enter the pool. NB! We can never guarantee that the property is completely closed.
The tenants shall notify Provacances or the contact person of the exact date and the approximate time of his arrival. In case of delay, notice shall be given to the owner.
The tenants shall return the holiday home in perfectly and clean condition. If this is not done, the tenant shall be billed the cost of repairs or cleaning. Eventually damages shall be notified to the contact person and Provacances.
At many rentals final cleaning can be ordered. If ordered, it is the tenant’s obligation to: tidy up the house, wash the dishes, empty the garbage bags, clean the refrigerator and owen and clean up during his stay. Final cleaning includes 2-8 hours cleaning, dependence of the house size. Any necessary cleaning besides this will be charged. At linen rental, all linen shall be left in the same room.
At entering the rental agreement the tenant declares that the tenants will not make any claims against Provacances and the owner, in case of personal damages on the property and the use of swimming pool. We hereby notice that supervision of the swimming pool is the tenant’s responsibility.
The security deposit shall be returned after the rental period if the house is left in a proper an undamaged condition. The tenant’s responsibility for damages etc. is preserved even though it exceeds the amount for the paid security deposit.
The tenant is liable for eventual theft, damage or loss of personal effects in case of failure or breakdown of any of the holiday homes installation, theft etc.
If the tenant upon arrival finds insufficient cleaning, damage to or defects of the holiday home, the tenant is obliged to file a complaint immediately, as the holiday home will otherwise be considered handed over to the tenant without any deficiencies and the tenant will lose the right to claim the defect.
Complaints regarding cleaning shall be reported immediately on the day of arrival. Complaints regarding damages or defects shall be reported as soon as possible and no later than 48 hours from the beginning of the rental period or immediately after the finding of the defect or damage. Complaints shall be directed to the contact person and PROVACANCES at info@provacances.dk or tel. 0045 96 70 60 00.
If the tenant fails to address a complaint to PROVACANCES during the rental period, the tenant will lose the right to claim compensation afterwards.
In the event of a complaint, the tenant shall grant PROVACANCES a reasonable time limit to rectify any errors, damages or defects.
If the tenant chooses to leave the holiday home before the end of the rental period, without prior agreement with Provacances, it is at the tenant's own expense and risk. The tenant risks not being able to terminate the rental agreement and risks losing the right for compensation, if the tenant makes it impossible for PROVACANCES to remedy or rectify any damage or to offer a relocation to a different holiday home.
If, in the tenant's opinion, the complaint reported has not been satisfactorily resolved during the rental period, the complaint must be submitted in writing to PROVACANCES no later than 14 days after the end of the rental period for further processing. Written complaints shall be directed to info@provacances.dk
In the event of a dispute, the court in Kolding, Denmark, alone has jurisdiction.
Since this rental is made solely on a seasonal basis, the tenant undertakes to vacate the premises upon the date provided in the agreement. More over, the tenant’s domicile is his address as indicated in this agreement.
The tenant must pay the full rental amount in case of force majeure (accidents, strikes, lock outs, nature catastrophes, war, epidemic diseases etc.) that makes it impossible to fulfil the rental agreement. This is also the case regarding the personal situation at the tenants. Provacances can cancel the agreement if the holiday home due to force majeure is not disposed to the tenants.
What do we do with your personal information?
When renting a holiday home with Provacances, it is mandatory that you communicate the following information to us:
We are collecting your identification data in strict conformity with the Danish law, and to make sure that we can proceed with the rental. This also means that Provacances in some cases will pass on your identification data to the owner or administrator of the holiday home. Provacances is only passing on the data so that the owner or administrator of the holiday home can handle the potential issues that may occur at arrival or during your stay in the Holiday home.
The personal data are collected and stored by Provacances Aps for five years, in conformity with the Danish law. By the end of this period, all data are deleted.
While collecting personal data via our website, we specify that we are proceeding with your full consent, so that you can be precisely informed about the nature of all collected data.
